How much does a business phone system cost?

Cloud business phone systems are priced per user, per month, so the headline price hides the real bill. Most plans land between $10 and $30 per user per month, but what you actually pay depends on your seats, your term, and a handful of add-ons. Here’s how the pricing works and how to work out your true cost.

What you're actually paying for

Providers charge a monthly fee for each user (each person with an extension). Plans come in tiers — an entry tier with core calling, and higher tiers that add features like call recording, analytics, CRM integrations or more advanced call routing.

The entry price you see advertised is the cheapest tier, for one user. Your real monthly cost is that price × your number of seats — and it usually goes up if you need a higher tier for the features your team actually uses.

Typical price ranges in 2026

Across the providers we track, published entry plans cluster around $15 per user per month (median), with most falling between roughly $10 and $30. A few providers only quote on request, and a small number offer a genuinely free tier for very small teams.

The hidden costs to watch

The sticker price rarely tells the whole story. Watch for:

  • Annual vs monthly billing. The lowest advertised price is often the annual-commitment rate; paying month-to-month can cost more.
  • Tier jumps. Features like CRM integration, call recording or advanced analytics often sit in a pricier tier, not the entry plan.
  • Add-ons. Extra local or toll-free numbers, international calling, extra storage or auto-attendant menus can be billed separately.
  • Hardware. Desk phones are optional (most teams use apps), but if you want physical handsets, budget for them.
  • Taxes and regulatory fees are added on top and vary by location.

How to work out your real cost

Because pricing is per user, the honest number is price × seats × the length of your commitment. A plan that’s a dollar cheaper per seat is not always cheaper once you add the seats you actually need.

Our cost calculator does this for you: enter your seats and term to see the real 1–3 year total across providers, cheapest first (flat-rate plans are handled correctly).

How to keep the bill down

  • Right-size the tier: pay for the features you’ll use, not the longest feature list.
  • Count seats honestly — shared lines and common-area phones may not each need a full user licence.
  • Weigh annual billing: the discount is real, but only commit once you’re confident in the provider.
  • If you’re a very small team, check whether a free or low-cost plan covers you before paying for a full business tier.

Frequently asked questions

How much does a business phone system cost per user?
Most cloud business phone plans cost roughly $10 to $30 per user per month, with a median around $15 for entry tiers. Higher tiers with advanced features cost more.
Is there a free business phone system?
A few providers offer a genuinely free tier suited to very small teams. It typically limits features and users, so check it covers your needs before relying on it. Our pricing report lists which providers currently offer a free plan.
What is the real cost for a team of 10?
Multiply the per-user price by 10, then by your commitment length. At $15/user/mo that's $150/month, or $3,600 over two years — before any add-ons or taxes. Use our cost calculator to compare the real total across providers.
Does the price include desk phones?
Usually not. Most cloud plans work through desktop and mobile apps, so physical desk phones are an optional extra you'd budget for separately.
